Terms and conditions

County Durham Injury Clinic T’s & C’s

 

Please read these terms and conditions carefully. By booking our services you indicate your acceptance of these Terms, our Privacy Policy and any other notices, guidelines and rules published by us. This goes for all appointments booked.

 

BOOKING INFORMATION

Appointments can be made via phone, email or over a message. Email address, name and phone number is required upon booking. Email to confirm appointment is sent when possible via SIF Health. Appointment lengths are approximate.

DEPOSITS

Deposits are required to secure your appointment. These can be paid in clinic for your next appointment or via an emailed invoice to pay online. Deposits need to be paid at least 48hrs before your appointment to secure your appointment. If the deposit is not paid we will assume you are not coming and give the appointment away. 

Deposits are non refundable if you cancel your appointment. If you amend your appointment day/time your deposit will move with the amendment but only if this is done with more than 24hrs notice.   

 

CANCELLATION POLICY

We respectfully ask that you provide at least 24-hours notice if you need to cancel or amend your appointment.

Please understand with less than 24 hours notice of cancellation we are often unable to fill your appointment time, and is an inconvenience to other clients who miss the chance to receive services they need, but also results in your therapist wasting their own time and incurring costs regardless of no appointment.

For this reason, you will be charged 50% of the service fee for the first appointment cancelled with less than 24 hours notice and 100% of the service fee for each appointment cancelled with less than 24 hours notice after that.

Any 'did not attend' appointments with no prior notice will be invoiced the full appointment charge.

We also reserve the right to ask for payment in full at the time of booking, should there be more than 2 late cancellations or did not attends.

We appreciate life can throw up unforeseen circumstances and the need to cancel your appointment can often be unavoidable. We try to be as fair as possible with our cancellation policy, and late cancellation due to emergency, illness, or inclement weather will generally not result in any missed session charges, but this is determined on a case-by-case basis.

You can avoid the cancellation fees if you are able to fill your appointment slot i.e. friend or family member can take your appointment.

 

THERAPIST CANCELLATIONS

If your therapist has to cancel your appointment, every effort will be made to give you more than 24 hours’ notice.  In some cases this is not possible due to illness, adverse weather or other emergency. Should these circumstances ever occur, your appointment will be rescheduled to the soonest possible convenient time to you.

 

LATE ARRIVALS

We understand that issues can arise that may cause you to be late for your appointment. However, appointment times are reserved for each client, and although we will do our best to accommodate you to ensure you receive your full appointment time if you are late, often we cannot exceed your reserved time without making the next client late. For this reason, arriving late for your appointment may result in loss of time from your treatment so that your session ends at the scheduled time. Full service fees will be charged even when sessions are shortened due to late arrival. In return we will do our best to be on time, and if we are unable to do so we will add time to your session to make up for our late arrival or adjust the service charge accordingly.

 

PAYMENT INFORMATION

Payments can be made by debit/credit card, or cash and can be paid upon attending your appointment (unless asked to pay at the time of booking).

 

OFFERS AND VOUCHERS

All offers or vouchers cannot be exchanged for any cash value. All vouchers unless otherwise dated are to be used within 6 months of their receipt or known release from the clinic. Offers and vouchers are non-refundable. Offers or vouchers cannot be used in conjunction with any other offers or discounts.

COVID 19

The use of masks are no longer required in the clinic, however you are more than welcome to wear one if you'd prefer. Also you are more than welcome to request that your Sports Therapist wears a mask during your appointment if you wish.
